About the role:

 

We are looking for a highly organised and proactive Operations Support Administrator to contribute to the seamless functioning of our operations team. This position involves supporting key administrative processes, coordinating with vendors and contractors, and managing critical systems such as purchase orders, asset registers, and maintenance schedules.

As part of the operations team, you’ll be the go-to person for handling day-to-day inquiries, streamlining workflows, and ensuring compliance with company standards. This is an exciting opportunity for someone who thrives in a dynamic environment, excels in multitasking, and has a keen eye for detail.

 

What you’ll do:

 

  • Create and manage purchase orders using Microsoft D365 to support timely procurement and accurate financial tracking.
  • Monitor and manage planned maintenance schedules and handle day-to-day maintenance requests via the CAFM system.
  • Update and maintain the asset register to ensure accuracy and compliance.
  • Provide administrative support to the Services Manager, including managing mailbox queries, parking allocations, and travel arrangements.
  • Act as a point of contact for vendors and contractors, addressing queries and ensuring effective communication and resolution of issues.
  • Track and update the status of ongoing tasks or projects to support workflow transparency.
  • Accurately input and manage data within company systems and databases.
  • Ensure that operations are aligned with organisational policies and compliance standards.
  • Identify and suggest improvements to enhance efficiency in existing workflows and processes.

What we are looking for:

 

  • Proven experience in administrative or operations support roles, with a strong understanding of office management practices.
  • Familiarity with creating and managing purchase orders, preferably using systems like Microsoft D365 or similar ERP tools.
  • Experience working with maintenance schedules and systems, such as CAFM (Computer-Aided Facility Management).
